About the Role

The Executive Coordinator provides high-quality executive and coordination support to the Chief Executive Officer (CEO), enabling the

smooth, professional and well-governed operation of the executive function. Working within the Executive Services team, this role plays a key part in supporting the CEO, Board and Executive Management through

proactive diary and inbox management, high-quality documentation, meeting coordination and governance support. The position also contributes to continuous improvement of executive and Board systems and processes and supports minor projects and events as directed. This is a trusted role suited to someone who thrives in a fast-paced environment, exercises sound judgement, and takes pride in delivering polished, accurate and timely executive support.

Key Responsibilities

Reporting to the CEO, the Executive Coordinator will:

  • Provide high-level executive assistance to the CEO, including proactive inbox and calendar management, travel coordination and expense reconciliation
  • Prepare, proofread and quality-check executive correspondence, briefing notes, reports, presentations and talking points
  • Coordinate internal and external meetings, including agendas, minutes, papers, logistics and follow-up of actions
  • Act as the primary point of contact for matters relating to the CEO, prioritising enquiries and exercising discretion
  • Coordinate Board and Committee meetings as directed, including paper workflows, approvals, version control and record management
  • Administer electronic execution and approval processes using systems such as Annature
  • Support executive reporting, CEO engagements and regional activities through effective planning and documentation
  • Lead minor projects and assist with event planning in line with WQPHN protocols
  • Contribute to continuous improvement of executive, governance and administrative systems and processes
  • Provide administrative support to the Executive Services team as required

About You

To be successful in this role, you will bring:

  • Certificate IV or higher in Business Administration, or equivalent demonstrated experience
  • Proven experience providing high-level executive support to a senior leader, ideally in a government or government-funded environment
  • Strong written communication skills, with demonstrated experience preparing clear, concise and professional executive-level documents
  • Excellent organisational skills and the ability to manage competing priorities with minimal supervision
  • Highly developed interpersonal skills and the ability to build trusted working relationships
  • Advanced skills in Microsoft Office and SharePoint, with the ability to quickly learn new systems
  • High levels of professionalism, discretion and attention to detail
