We are seeking a proactive and highly organised Executive Assistant to provide critical support to a senior leader at Western Queensland Primary Health Network (WQPHN). About the Role


The Executive Assistant will provide proactive administrative, coordination, and communication support to the Head of Primary Health & Commissioned Services.


The role will work closely with their direct reports and other senior leaders to keep operations running smoothly, deliver well-organised meetings and communications, and support key deliverables and follow-up across both portfolios.


This is a high-trust role requiring strong judgment, attention to detail, and the ability to manage multiple moving parts while maintaining professionalism and confidentiality.


Key Responsibilities

  • Manage complex calendars and inboxes, ensuring the executive is well-prepared and supported
  • Coordinate meetings, agendas, travel, event registrations, and expense reconciliations
  • Provide high-quality documentation support, including reports, briefs, presentations, and correspondence
  • Lead or support minor projects and internal events as required
  • Anticipate needs, track actions and follow up on key deliverables
  • Liaise with internal and external stakeholders in a professional and timely manner


The Right Person

Additionally, we’re looking for someone who brings:

  • A Certificate IV or higher in Business Administration, or equivalent experience in a similar senior support role
  • Demonstrated experience providing high-level executive support, ideally to executives in a government or government-funded organisation
  • Strong skills in preparing clear and professional documents, including meeting papers, reports, briefing notes, and correspondence
  • The ability to manage multiple deadlines independently, using sound judgement and strong problem-solving skills to stay ahead of shifting priorities
  • Excellent interpersonal and communication skills, with a professional, confident approach to engaging with internal and external stakeholders
